For operational teams, document control is not just a library. The real value comes from connecting controlled information to the jobs, programmes and people that rely on it.

A document library is not the same as document control

A shared folder can store files, but it does not automatically tell a supervisor which revision is current, whether approval is complete or which work packages depend on the document. Infrastructure document control should preserve revision history while making the approved working version obvious.

Preserve the audit trail

When a document changes, the system should make the revision and approval history reviewable. That helps teams understand what was approved, what changed and which version was current at a particular point in delivery.

Control access without creating another silo

Different users may need different rights to upload, approve, publish or simply view controlled documents. Those permissions should align with the wider operational access model rather than create a completely separate administration process.

  • Clear current revision and superseded revision history
  • Approval and publication states
  • RAMS, drawings, permits and controlled packs
  • Links between documents and live jobs or programmes
  • Role-based access and audit history
  • Usable access for supervisors and field teams
